Model-specific evidence

A dated document or record that identifies the exact model or configuration under review. General catalogue copy may be a useful starting source, but it should not automatically be treated as model-specific proof.

Evidence index

A numbered register connecting each supplier statement to a document, revision date, owner, location and buyer review status. A practical status set is Verified, Partially documented, Not provided and Not applicable.

Technical specification overview

A configuration-specific summary of technical fields and operating requirements supplied for review. It should identify the model and revision rather than rely on an undated generic brochure.

Operating documentation

Materials describing controls, setup, normal operation and operator responsibilities. Record whether the material is available, current and applicable to the exact configuration.

Maintenance documentation

Materials covering cleaning, storage, consumable handling, routine checks, fault escalation and service responsibilities. Separate documented instructions from verbal explanations.

Training outline

A record of onboarding topics, prerequisites, delivery format, responsible team and escalation path. Training language alone does not prove the adequacy of training for a particular market or workflow.

OEM / ODM scope

The specific changes a supplier can support, such as branding, artwork, enclosure or packaging options, together with excluded changes and the approval workflow. Do not interpret the label alone as a commitment to a particular customization.

Document revision control

The revision identifier or date, document owner and method for identifying the current version. Ask how buyers are notified when operating, maintenance or training materials change.

Open issue

A question, missing document, configuration ambiguity or assigned review item that prevents a final decision. Every open issue should have an owner and a target decision date.

Destination-market review

A separate review of the exact device, intended claims, importer responsibilities and destination-market requirements by an appropriately qualified party. Procurement evidence does not replace that review.

Commercial separation
